Cashback

1. What is this page for?

The Cashback page is used to manage your site's loss-rebate program, returning a percentage of net losses to players over recurring periods (daily or weekly). You can configure per-rank rates and payout caps, inspect calculation formulas for individual players, approve claims that are waiting for site credit, and view analytical reports. This page is designed for finance officers, campaign managers, and customer support administrators.

2. Before you start

  • Required permissions:
    • You must have the 'Cashback' permission granted by an administrator to view, configure, adjust rates, or approve/cancel cashback claims.
    • If you only have view permissions, you can browse settings, rank rates, and period records, but save, adjust, and payout approval buttons will be disabled.
  • Things to prepare:
    • Member ranks: Ensure ranks are configured in the system beforehand so you can set cashback percentages for each rank.
    • Site credit balance: If claims are awaiting payout due to short site credit, your site's operational credit account must be topped up before approving payouts.
    • Core system rules to understand:
      • Only net losses of deposited cash during the period are eligible (losses of promotion bonus credits do not count).
      • Any free credits or bonuses granted by the site during that period are deducted from losses prior to calculation.
      • Players whose accounts are break-even or in overall profit across their entire account lifetime are ineligible for cashback.

3. Screen overview

This page is structured into 3 main tabs:

  1. Settings tab: Configures site-wide cashback rules: enable toggle, period cycle (daily/weekly), week start day, claim opening time, claim window days, promotion handling rules, minimum loss threshold, and turnover requirements.
  2. Rates by rank tab: Displays all member ranks, their cashback percentage rates across game types, maximum payout caps per period, and edit links.
  3. Period report tab: Displays overall statistics cards, trend charts, quick status cards, and the complete table of player period records, with options to view calculation breakdowns and process payouts.

10. Frequently asked questions / Troubleshooting

  • Why is a claim stuck in "Awaiting payout"?
    • This occurs when the site's central credit balance was too low to process the payout at the moment the player claimed it. Top up your site's credit balance, then click the green Approve button on that row.
  • Why did a player who lost money receive no cashback?
    • Check whether their net losses met the Minimum loss threshold.
    • Check whether they claimed a deposit promotion during that period (if your settings disqualify promotional periods).
    • Check whether the player's overall lifetime balance is net-positive.
    • Check whether the player has unsettled bets or pending free spins.
  • Does modifying site-wide settings affect past periods?
    • No. Closed and settled periods retain their original terms. New settings apply only to active, unsettled periods and future cycles.
